S-Sign Request Management

Introduction

You can create, view, and manage all S-Sign requests from the S-Sign Request Management page. This page provides a comprehensive view of all active and inactive requests in your org, and allows you to query specific requests as needed.

Access The S-Sign Request Management Page

The S-Sign Request Management page can be accessed through a custom Visualforce tab. Follow the instructions below to add this tab to your org.

From the Setup menu, type "Tabs" into the Quick Find / Search bar, then click Tabs in the dropdown menu (Under User Interface). From there, scroll down to the Visualforce Tabs section and click New.

Enter the following values for your new Visualforce tab.

[1] Visualforce Page: SSRequests [SSign__SSRequests]

[2] Tab Label & Tab Name: Choose a tab label. We recommend S-Sign Request Management. The tab name will auto-populate

[3] Tab Style: Choose any style

Click Next. Choose your own profile visibility settings and which apps you'd like the tab to appear in (we recommend including it in the S-Docs app), then click Save.

Navigate to the app(s) the tab was added to and click the tab to access the S-Sign Request Management page.

Use The S-Sign Request Management Page

The S-Sign Request Management page is broken up into 2 main sections: [1] Create and [2] Manage.

Create S-Sign Requests

Click the + icon in the Create section to begin creating an S-Sign request.

You'll be presented with the following 3 steps.

[1] Choose an object and [2] record to create the request for, then [3] click the + icon to continue to the template selection page. You can also [4] click Back to Home to navigate back to the S-Sign Request Management homepage.

After clicking the + icon in Step 3, you will be redirected to the template selection page. Here, you can select and generate templates related to your chosen base object and send the e-signature request like normal.

Manage S-Sign Requests

You can view and manage existing S-Sign requests in your org in the Manage section of the S-Sign Request Management page. This section provides 4 options to quickly view relevant requests.

Options 1-3 display custom S-Sign Request List Views with different filter criteria as described below:
[1] Active Requests: Displays all S-Sign Envelopes/Envelope Documents that are not Completed, Declined, Voided, or Expired
[2] Completed Requests: Displays all S-Sign Envelopes/Envelope Documents that have been completed by all signers
[3] All Requests: Displays all S-Sign Envelopes/Envelope Documents in your org regardless of status

[4] Advanced Search: Displays advanced search options you can use to find specific S-Sign Envelopes/Envelope Documents (see Advanced Search)

S-Sign Request List Views
Note: The following screenshot displays results from option 3, All Requests, but options 1 and 2 display a similar page with identical functionality.

[1] Active: Indicates whether a request is Active or not.

Icon Meaning
Active: The Envelope has not been Completed, Declined, Voided, or has not Expired
Inactive: The Envelope has been Completed, Declined, Voided, or has Expired

[2] Status: Displays the current value of the Sign Status field on the S-Sign Envelope.

Icon Meaning
Created: The request has been created but not sent
Sent: The request has been sent but the signer has not accessed the document(s)
Viewed: The document has been accessed by the first signer but no inputs have been submitted
Partially Signed: Inputs have been submitted by one or more signers but the document has not been submitted by all signers
Printed: The request has been printed
Reminded: A reminder has been sent to the signer
Completed: The request has been completed by all signers
Declined: The request has been declined
Voided: The request has been voided
Expired: The request has expired

[3] The rest of the columns display information/links for each S-Sign Envelope and provide a link to void the request.

[4] You can sort the list view by choosing an option in the Sort By picklist and clicking Sort.

[5] If you list is longer than 1 page, use the navigation buttons to move between pages.

[6] By default, S-Sign Envelope records are displayed in this list view. Click Envelope Document View to display each S-Sign Envelope Document instead. The Envelope Document View provides links to view the original & signed document(s), as well as the S-Docs templates used to generate them.

Advanced Search

Click the Spyglass icon above "Show Advanced Search" on the S-Sign Request Management homepage to accessed advanced search options.

The Advanced Search Options page has two options: Envelope View (default) will query S-Sign Envelopes, and Envelope Document View will query S-Sign Envelope Documents.

The Envelope View appears as follows.

[1] Hash ID: Paste an S-Sign Envelope record ID to search for individual records
[2] Sign Status: Choose one or more Sign Status values to search for S-Sign Envelopes with those statuses
[3] Only show requests created after: Choose a date to search for S-Sign Envelopes created after (and including) that date
[4] Only show requests created before: Choose a date to search for S-Sign Envelopes created before (and including) that date
[5] Related to Object: Choose one or more objects to search for S-Sign Envelopes created for that object
[6] Related to ID: Enter a record ID to search for S-Sign Envelopes created for that record

Note: You must choose only one object in the Related To Object picklist to filter by record ID.
[7] Related to Name or Contract Number: Enter a record name or contract number to search for S-Sign Envelopes created for that record
Note: You must choose only one object in the Related To Object picklist to filter by record name/contract number.
[8] Sort By: Choose an option in this picklist to sort the results by
[9]: Clear Search Parameters: Click Clear to remove all current search parameters
[10] Search: Click the spyglass icon to run the search

Click Envelope Document View in the top right corner to access the Envelope Document View. This view removes the ability to search by object, record ID, or record name/contract number. It adds 2 new search parameters.

[1] S-Doc Template ID: Enter an S-Doc template ID to search for S-Sign Envelope Documents generated using that template
[2] S-Doc Template Name: Enter an S-Doc template name to search for S-Sign Envelope Documents generated using that template

Customize S-Sign Request List Views

You can customize the S-Sign Request Management list views by accessing special settings on the S-Sign Setup page.

To access these settings, navigate to the following URL, ensuring you replace "SALESFORCE-DOMAIN" with your own base Salesforce domain.

Scroll down to the S-Sign Requests Page Customization section.

[1] Choose how many records (1-99) should appear per page
[2] Display S-Sign Envelope Document records by default instead of S-Sign Envelope records

Note: Options 1 and 2 can also be set in your S-Sign Custom Settings record.

[3] Display additional S-Sign Envelope field values as columns by entering field API names here (delimited by new lines). By default, the following fields are included as columns:

  • Active
  • Status
  • Envelope
  • Created By User
  • Related Record
  • Void Contracts
  • Last Modified Date
Note: Default columns do not use API names.
Note 2: If you clear all columns and click Save Customizations and reload the page, this field will be reset to default columns in the default order.

[4] Display additional S-Sign Envelope Document field values as columns by entering field API names here (delimited by new lines). By default, the following fields are included as columns:

  • Active
  • Status
  • Envelope Document
  • Created By User
  • View Original Document
  • View Signed Document
  • Related Template
  • Related Envelope
  • Last Modified Date
Note: Default columns do not use API names.
Note 2: If you clear all columns and click Save Customizations and reload the page, this field will be reset to default columns in the default order.

Click Save Customizations to save your work.
